Building a custom operations platform to replace manual spreadsheets with a unified "business operating system" that automates the entire trip lifecycle. The solution features a Client Portal for self-service document uploads and visual itineraries, an Admin Command Center for real-time roster management and financial reconciliation (Stripe + Manual), and a Mobile Ground Portal for field manifests. By integrating live inventory directly into your WordPress site, we eliminate "chasing" travelers for info and automate the 60-day payment/document rules, transforming your admin team from data entry clerks into high-level monitors of a fully automated engine.
Traveler Dashboard: Clients log in to manage their entire trip. They can upload passports, enter flight details, and sign legal waivers (e-sign integration) without emailing you. Visual Trip Timeline: [New Addition] A beautiful, day-by-day "Living Itinerary" (similar to the examples we discussed on Altezza) that visually maps out the climb, hotel nights, and safari add-ons. This updates live if they add services, it's 100% specific and accurate to THEIR trip (not generalized). We can keep it brief and less-specific with regard to accommodations or other nuances so as to not promise and under-deliver. Group Management: Users can link bookings, pay for others, or split payments seamlessly.
The "One Truth" Dashboard: Replaces your master spreadsheet. You’ll have a real-time view of every trip, roster, and payment status. Financial Ledger: A "Librarian View" that lets you reconcile Stripe payments alongside manual bank transfers/Zelle. The system treats them all equally, keeping your books perfectly aligned. Automated Logic: Hard-coded business rules (e.g., locking changes 60 days out, enforcing single supplements) that run automatically. Easy Administration: You’ll have a simple dashboard to add new trip dates in seconds. Create the "August 2026" schedule once, and it automatically populates on your website and the booking portal simultaneously. We can modify this or expand on this system at a later date if you need to add new routes, etc.
A high-end, mobile-responsive booking wizard. Handles complex scenarios: "Ghost" profiles (one person booking for 5), deposit logic (30% vs 100%), and dynamic inventory (safari add-ons vs. core climb spots). This would also connect people to each other through a shared link after the first person books (with a special code that links the bookings).
A simplified, read-only mobile view for guides on the mountain. One-click PDF generation for manifests and rooming lists (no more manual formatting).
Seamless Website Sync: I'll build a custom "Live Inventory" tool for your existing WordPress site. This would replace your current inventory frontend system. Automated Updates: When a spot sells on the portal, your website updates instantly (e.g., from "6 spots left" to "5 spots left"). No manual editing of the website required.
